Respond quickly to employee complaints

If a staff member complains about offensive emails or Internet usage, be sure to deal with the issue quickly. Policies should be in place detailing how such complaints will be handled. Employees must also be encouraged to come forward if inappropriate email or Internet usage is detected.

Monitoring email or Internet usage

The only sure way to ensure that no policy rules are being violated, individual email and Internet use must be monitored. Having such a policy in place could be helpful in a court of law since it shows the practice was proactive in keeping offensive materials out of the office.

While a monitoring program can help from a legal standpoint, you will also be more aware of spam and viruses that may be affecting your system. With various threats to your system lurking on the Internet, having a policy in place stresses the benefits of monitoring usage.
